Staying Organized With Trello and Asana
Keeping yourself and your team in line 24/7 without the phone tag!
Welcome back, everyone! For those who don’t know me, I’m Yasmine. The owner of Robles Designs and the founder of Digital Hustle Tribe. I wanted to show you all a super quick overview of how I use Trello and Asana for my business and personal life. I work almost completely digitally and to keep my status as a #bossbabe, it’s imperative that my life, business, and my team not be a total hot mess!
Trello = Mellow!
In my opinion, Trello is the simplest of the two. It works great for your own to-do lists and projects. They both are superb and have a lot of great features but a lot of my clients use Trello and it’s where I personally started and then I transitioned into using Asana.
I started finding hiccups when I began projects that had sub-tasks with sub-SUB-tasks. That’s when I normally start entering panic mode!!
Example 1: A course launch with a website task with a subtask of the home page which has a design task... You get the idea.
I’ll get more into that later, though. For now, let’s take a look at Trello.
Trello's visuals are great due to the fact that they don’t make me hyperventilate when I look at tasks needing to be done (It is supposed to make you less stressed, not more… right!?). Below is my personal Trello account. On the left-hand side, you’ll see that these are the boards for Robles Designs. You can enter in multiple custom boards and only those that are within the team can see the boards. Voila!
Within the board, you can lead your team through the process. Below is the ‘Business’ board. You can also mark each part of the process as ‘to-do’, ‘doing’, or ‘done’ which is really helpful!
By clicking ‘+ Add a card’, you can add different key aspects such as comments or attachments. When sharing an attachment, it makes it super easy for your team members to download and view it. I can also add my assistant so that she can see a to-do list.
In my experience, Trello is GREAT if you are just looking for an easy-peasy outlet and don’t need the extra fluff that Asana has to offer.
Diving into Asana
On the flip side is Asana, which I currently use. I have a personal account, a client account, and a business account. It's great for teams larger than three and projects that have a lot of tasks to make everything come to life. Below is a screenshot of my personal account.
When you enter the project you can view every task by list. On the list, you can add assignments, people and comments. What is also amazing about this is that you can add subtasks.
For example, under ‘Website’, you can also add ‘Design’, ‘Development’, ‘Testing’, etc. These subtasks can also be assigned to someone else. FURTHER, this allows these subtasks to branch out can allow for different due dates. What else can a gal ask for!?
If you are a visual person like I am, you can color coordinate each task to help you out.
On Asana, you can use the Calendar mode too. It allows you to pick different tasks up and move them to different days really easily.
Both: Trello and Asana
In both outlets, you can add other people, attach documents, add links, comment, and they are available on your phone. I like to keep myself #incheck so I push notifications from Asana and it works wonders. I can wake up and know if I’ll be grumpy or not… AKA if I have time to get my coffee that morning.
I’m currently thinking about switching to Asana Premium to get features such as their timeline where you can see if all the overlaps of projects.
